FieldBit — Privacy Policy

1. Who We Are

FieldBit is a field visit verification and team tracking application developed by ReadBits AI Technologies Pvt. Ltd., Hyderabad, India (“ReadBits”, “we”, “us”, “our”).

Your employer or business owner who manages your team through FieldBit is the Data Fiduciary under the Digital Personal Data Protection Act, 2023 (DPDP Act). ReadBits acts as a Data Processor, processing data on their behalf.

2. Data We Collect

2.1 Account Information

• Phone number (for OTP verification)
• Name (as provided by your team admin)
• Role (owner, field agent, read-only)
• Team / organisation name

2.2 Visit Data

• GPS coordinates at the time of visit check-in
• Photos taken during visits (camera only — no gallery access)
• Voice notes recorded during visits (optional, up to 60 seconds)
• Visit timestamp, duration, and notes
• Contact person name and phone (optional)

2.3 Location Sharing While the App Is Open

• Your phone's GPS coordinates, captured each time you open FieldBit and re-captured every 5 minutes while the app is in the foreground
• Location accuracy and timestamp
• Battery level (so your manager has context for the reading)
• Location sharing only happens while the app is open and in use. We do not collect your location while the app is in the background or closed.
• Activated by the OS-level “While Using App” location permission you grant on first launch. Revoke any time via your phone's settings.

2.4 Device Information

• Device model and operating system version
• App version and network connectivity status
• We do not collect IMEI, advertising ID, contacts, SMS, or browsing history

3. How We Use Your Data

We do not use your data for advertising, sell it to data brokers, or make automated decisions that affect your employment.

4. How Location Sharing Works in FieldBit

We collect your phone's location at three well-defined moments — never silently in the background.

a) When you open the app

Your current GPS reading is shared with your manager so they can see you've started your day.

b) Every 5 minutes while the app is in the foreground

A fresh reading is captured and shared. The moment you put the app in the background or close it, capture stops.

c) When your manager requests your location

Your manager can tap “Locate” in their app to request your current position. When they do, you receive a notification on your phone — “{Manager}pinged you · Your current location was just shared” — and your app sends a fresh reading. Managers are rate-limited to one location request per agent every 5 minutes.

What you control

• Permission gate— the OS-level “While Using App” location permission you grant on first launch is the consent gate. Revoke any time via Settings → FieldBit → Location.
• Transparency log — open Profile → Recent location sharesin the app to see every manager-initiated location request that targeted you, with timestamps and the manager's name.
• Stop anytime — close the app to stop the periodic 5-minute capture immediately.

What we don't do

• No background location capture.
• No location capture while the app is closed.
• No selling of location data, no third-party sharing beyond your team manager, no advertising use.

Location history is retained for 90 daysand then automatically deleted. Your most recent location is kept current so your manager's screen renders accurately. Both can be deleted on request — email support@readbits.ai.

5. Data Storage & Security

• Stored on Amazon Web Services (AWS), encrypted at rest (AES-256) and in transit (TLS 1.2+)
• Photos and voice notes stored in AWS S3 with time-limited presigned URLs (not publicly accessible)
• Role-based access — agents see only their own data
• JWT authentication with expiry on all API endpoints
• Rate limiting on all endpoints

Data Retention

6. Third-Party Services

We do not share your data with advertisers or data brokers. Data is shared with law enforcement only when required by a valid legal order.

7. Your Rights (DPDP Act, 2023)

As a Data Principal, you have the right to:

• Access — request a summary of your personal data
• Correction — request correction of inaccurate data
• Erasure — request deletion of your data
• Withdraw consent — at any time
• Grievance redressal — contact our Grievance Officer
• Complaint — file with the Data Protection Board of India

To exercise your rights, email privacy@readbits.in or use the in-app option at Profile → Settings → Request Data Deletion. We respond within 30 days.

8. Children's Privacy

FieldBit is designed for professional use by adults (18 years and older). We do not knowingly collect data from children under 18.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via in-app notification. Continued use after changes constitutes acceptance.
